Key Factors to Compare When Sourcing Spare Parts From Indian Exporters

Two quotations can show the same part description and still represent very different offers. One may exclude freight, another may depend on sourcing stock after payment, and a third may quote a substitute you have not approved.

When sourcing spare parts from Indian exporters, compare the exact goods and the full supply terms. The lowest unit price is useful only when you know what it includes.

First, Make the Product Specification Comparable

Send each exporter the same list of brands, part numbers, quantities and vehicle applications. State clearly that you require genuine OEM parts. Ask suppliers to identify any unavailable lines or proposed substitutions separately.

For requirements such as Bosch OEM spare parts, a category description like “filters” is too broad for a meaningful comparison. The manufacturer’s reference and intended application should match across quotations. Ask about sourcing records, samples and relevant inspection arrangements before placing a large order.

Compare Landed Cost, Not Just Unit Price

Build a cost comparison that includes the parts, export packing, freight, insurance where arranged, destination handling, applicable duties and taxes, and inland delivery. Keep currencies and delivery terms consistent. Ask your freight forwarder or customs broker to confirm estimates that fall outside the exporter’s quotation.

A useful comparison sheet has one row per part number and separate columns for:

  • Quoted brand and reference, quantity and unit price.
  • What is included and excluded from the delivery price.
  • Availability, minimum order quantity and estimated dispatch date.
  • Payment schedule, quotation validity and discrepancy terms.

Separate Preparation Time From Transit Time

“Delivery in three weeks” is incomplete unless you know when the clock starts and what the estimate covers. Ask when the goods will be ready, whether all lines are available and how long the shipping leg is expected to take. Allow for destination clearance in your inventory plan.

For multi-item orders, ask whether one delayed line will hold the shipment. Our guide to bulk spare parts procurement and shipment planning explains why consolidation and dispatch coordination deserve attention.

Check Whether Order Sizes Suit Your Business

A low price tied to an excessive quantity can leave capital sitting in slow-moving stock. Compare minimum quantities per part number, pack sizes and any overall order minimum. If mixed orders are offered, confirm whether items can be shipped together and whether consolidation changes the lead time.

Review Paperwork and Issue Resolution

Ask what export documents will be supplied and confirm destination requirements with your broker. Accurate invoices and packing lists help your receiving and clearance teams reconcile the shipment.

Also ask how shortages, transit damage or incorrect parts should be reported. Establish the evidence required, reporting window and available remedies in writing. Do not assume that a warranty, free replacement or return freight is included unless the quotation states it.
